Due to insurance and educator protections, we can only accept children who have completed at least one year in a full-day classroom, and are unable to accept rising kindergarteners.

THE A-Z OF EVENTS AT THE POWERHOUSE
ACCESSIBILITY
Our venue itself is ADA accessible with no need to use stairs, an elevator or chair lift. However, keep in mind that your personal floor plan may restrict wheelchair access throughout the room. Please let your event coordinator know ahead of time if you anticipate needing ADA accessibility so we can all plan accordingly.
ALCOHOL
The Powerhouse holds its own liquor license which allows us to provide all the beverages, beer, wine, cocktails, and non-alcoholic drinks for your wedding or event. We also provide the staffing appropriate for your event and guest count to make sure your guests have a quick, fun, and easy experience. We are able to do a cash bar, open bar or any combination thereof. All bar charges will be invoiced on the day of your event and must be paid no later than 14 business days after receiving the final invoice.
All Powerhouse venue contracts include an on-site bartender (or more based on your guest count). Additional bartenders and bar backs are available for an additional cost upon request.
A few restrictions: event guests may NOT bring any alcoholic beverages onto the property during the duration of your event. The Powerhouse will also provide snacks for sale. An automatic 20% gratuity will be added to all event bartending bills. No alcohol may leave the confines of The Powerhouse building or patio. No alcohol in the parking lot.
Contact us for a sample bar menu and more information. All special orders are subject to availability and additional charges.
Non-alcoholic beverages may be brought onto the property by outside vendors, you, or your guests.
AUDIO/VISUAL
Our outdoor patio venue rental comes with access to our portable outdoor speakers and microphone intended for ceremony use and background music. We highly recommend hiring a professional DJ from our recommended vendor list. Please make sure to note our noise restrictions when coordinating with your DJ (8:30pm for outdoor and 10:30pm for indoor).
Our indoor space is equipped with a screen and projector for presentations or slideshows and our team will be on site during your event to ensure set-up goes smoothly.
BATHROOMS
The main restrooms for your event are located just outside The Powerhouse. There is one women’s stall, one men’s stall, and one family stall. These restrooms are ADA accessible from inside The Powerhouse. Additional restrooms may be brought in for events with prior approval from Powerhouse staff.
BEHAVIOR
The client agrees to comply with all federal, state, and municipal laws, statutes, regulations, and ordinances while on Powerhouse property. No drunken or rowdy behavior will be allowed on the property. If the client fails to comply with staff instruction, The Powerhouse reserves the right to end the event immediately with no refund. If law enforcement is called to the property for any reason during the event, the client may be asked to fill out an incident report.
CAPACITY
We want your event to go as smoothly as possible. For that reason, our venue capacity is MAX 200 people. That includes the bride, groom, and any off-site guests that you invite to your event. Yes, it also includes children! It DOES NOT include Powerhouse staff or any vendors who will only be on the property during their promised service. If for any reason your guest count exceeds this number, you may be subject to a fine as additional guests often result in parking issues, property damage, catering hiccups, and fire code violations.
Seated capacity is as follows: OUTSIDE: 150 INSIDE: 100-125 (move tables for dancing, buffet in boiler room) 75 (comfortable with no moving tables)
CATERING
The Powerhouse does not provide any on-site catering options at this time, but we work with an incredible group of caterers. Although not required, we highly recommend hiring a professionally licensed catering company to cater your event.
The venue is not required, nor will it be responsible for supplying tableware, glassware, dinner napkins, or any other items normally provided by a catering company, outside of bar requirements. Caterers are required to remove all property the day of the event or by 9:00 am the following morning. The client will be required to pay $150 per hour for any equipment left after this time. This fine will be deducted from the security deposits or charged additionally to the client, if necessary.
CHILDREN
We ask that children be supervised for the entirety of your event for the safety and enjoyment of everyone. The Powerhouse has designated space on campus to support on-site childcare during your event. Please inquire with our team for recommendations.
CEREMONY
All ceremony chairs and their set up is included with the venue fee. If a client decides to have an off-site ceremony, The Powerhouse will have no responsibility for any set up or coordination of permits. Please inquire with our staff for information on hosting a ceremony at one of the nearby public parks.
COORDINATION
A Powerhouse venue manager will work closely with the client to ensure that the event proceeds smoothly and efficiently. This staff member is NOT a wedding planner or coordinator.
To help coordinate a successful event, a professional and insured day-of event coordinator is highly recommended for every event. The coordinator would ideally be present for the entire event and will be required to serve as The Powerhouse’s direct contact during a client’s event. They will arrive for set up, check in with Powerhouse staff, coordinate all vendor schedules, make sure all policies are followed, and remind all vendors of policies and times, etc.
We contract with Durango Event Planners to provide an all-inclusive experience for our couples and guests. However, we understand if you have another event planner you would like to use and we are happy to work with the coordinator you provide.
COST AND DEPOSITS
The client will be responsible for all costs related to the event including the rental fee and all fees paid to outside vendors. 50% is due upon booking and is required to hold the date. The balance due no later than two weeks prior to event as well as a $500 fully-refundable security deposit.
Clients may pay via credit card or e-check made out to The Powerhouse. Client acknowledges that the date WILL NOT be held until this contract has been signed AND the 50% deposit has been received and cleared. Any services the client chooses to add that are not included in these facility rental fees will be on the final invoice and/or deducted from the deposit.
DAMAGES
As host of the event, the client is responsible for the actions of their guests. The client will be held responsible for any theft or damage to The Powerhouse property made by them, their contractors, or their guests during their use of the venue spaces. With exceptions for normal wear and tear, the client will be expected to promptly pay for any needed replacement or cleaning costs.
Under no circumstances will The Powerhouse be liable to the customer or any of the customer’s guests or contractors for any personal injury or property damage at the venue in connection with an event. The client shall indemnify and hold The Powerhouse harmless from any and all claims for damages, including but not limited to personal injury or death relating to or arising out of the client’s use and occupancy of the facility, surrounding premises, and equipment. The client shall reimburse The Powerhouse for all expenses, damages, fines and/or legal fees incurred or suffered by The Powerhouse by reason of any breach, violation, or non-performance by the client, or the client’s guests, contractors or other invitees, or by reason of such parties’ use of the facility, equipment, or other property of The Powerhouse, or any part thereof or surrounding area, or from any other cause unless due to the negligence of The Powerhouse.
The client shall also reimburse The Powerhouse for all expenses, damages, or fines incurred or suffered by The Powerhouse by reason of reason of any breach, violation or non-performance by the client, or the client’s family, employees, agents, vendors, guests, or other invitees of any covenant or provision of this agreement, or by reason of use by the client of the facility and/or surrounding areas, or any part thereof, or from any other cause due to the carelessness, negligence, or improper conduct of the client or the client’s family, employees, agents, vendors, visitors, guests, or other invitees.
The Powerhouse may charge interest on all amounts not paid when due pursuant to this agreement at the rate of eighteen percent (18%) per annum. The Powerhouse shall be entitled to recover from the client all costs associated with collection and any enforcement of this agreement, including reasonable attorney fees, accounting fees, and expert witness fees.
DECORATIONS
We encourage the use of decorations at our venue, however the use of any glitter, fake flower petals, fog, rice, helium balloons, bird seed, or confetti of any kind is prohibited on our property. We are happy to suggest decoration alternatives that are more sustainable and respectful of our space. Any use of prohibited items may be subject to an additional cleaning fee. We prohibit nailing, screwing, or placement of other hardware into any venue structure, furniture, walls, or trees. Decorations may not be fastened to the walls with thumbtacks, nails, screws, staples, duct tape, or other fasteners except for command hooks or masking tape. All decorations must be taken down and stored in the designated pick up location before the end of your allotted contracted time. Due to insurance restrictions, The Powerhouse does not supply any ladders or dollies so prepare accordingly. The Powerhouse reserves the right of final approval over all decorations on the date of the event. We may require that onsite modifications be made to the decorations to ensure compliance with this agreement and to protect the property’s facilities.
DIRECTIONS AND PARKING
The best address for Google Maps is “1295 Camino Del Rio, Durango, CO 81301.”
The Powerhouse lot includes 42 parking spaces which, except for parking needed for staff and for normal facility operations during the event, set up and break down, shall be made available to the client for the event. The client shall be responsible for controlling its event parking and ensuring that all fire lanes and access lanes are kept free, clear, and unobstructed. The client may not charge any fees for parking. Staff reserves the right to direct where vehicles may or may not park and to tow vehicles in violation. Sound or other techs must park their vehicles to the south of the stage in designated parking places and not to the east of the walkway on the gravel.
Because of the tight parking situation, we strongly recommend that you provide 1 greeter for every 50 guests. The greeter will direct guests as they arrive for your event. Greeters can be family members or friends and are only needed during the start of the event.
Please encourage carpooling. For large guest counts, client-provided transportation may be worth considering.
Cars may be left overnight to avoid impaired driving as long as they are removed by 10:00am the following day.
DISPLAY RIGHTS
The Powerhouse and Durango Event Planners reserve the right to use photographs from your event (taken by our team or by your hired photographer) for business related purposes such as promotion, display, advertisement, publication, portfolio, etc. If you are having a “no screen” event, please let us know ahead of time and we will be respectful of your wishes to avoid photos.
EQUIPMENT & RENTALS
The Powerhouse shall provide the equipment listed (tables, chairs, AV, etc) in the contract with the compensation as noted. The client shall be prohibited from operating Powerhouse equipment unless expressly permitted by The Powerhouse in writing subject to The Powerhouse’s operating requirements.
EXCLUSIVITY

This could include, but is not limited to, breakfasts, workshops, or banquets the day before your event, wedding ceremonies on the site you’re not using, etc.
EXHIBITS DISCLAIMER
Client acknowledges that museum exhibitions change periodically, and we cannot guarantee that the rental space will have the same appearance as when originally viewed. The Powerhouse is an operating children’s museum and educational non-profit. This venue features rotating exhibits that may impact your floor plan. This impact includes but is not limited to, unmovable floor installations, hanging installations, large installations that are around the room, decor and signage changes, etc. The Powerhouse team reserves the right to install exhibitions prior to notice to the client and will inform its event clients as soon as possible what that layout will be.

S’mores stations and grills can be set up by your caterer with the proper equipment and should be discussed ahead of time with our venue manager.

Firearms are allowed on property but please adhere to all local, state, and federal firearm regulations. Law enforcement will be called if legal regulations are not adhered to.
FORCE MAJEURE
If The Powerhouse is unable to perform the services in this agreement due to a fire, or other casualty, strike, act of God, or other cause beyond the control of the parties, then the client and management shall in good faith, find alternative dates for the event. If alternative dates are not possible, management shall return the deposit to the client, but shall have no further liability with respect to this agreement. In the event the management fails to perform for any other reason, the management shall not be liable for any amount in excess of the total fee.
The Powerhouse may assign its rights and obligations to a party who purchases part or all of the venue and will transfer the deposit and contract obligations to the new party.
Management will not be liable for failure to perform this agreement due to unforeseen or uncontrollable circumstances such as catastrophe, war, acts of terrorism, government regulations, disaster, weather, strikes, civil disorder, Covid-related restrictions, or other emergencies.
HEAT / AC
Our indoor venue space is heated in winter months, but has no air conditioning. If patio heaters are desired, we recommend renting from Target Rental.
INCLEMENT WEATHER
Our team will work with you to determine a rain plan well in advance of your event date. Should rain or snow prevail on your event date, we will work with you to move your event to an indoor space if possible. Though we wish you a wonderful time with wonderful weather, it cannot be guaranteed. No refunds will be given in the event of inclement weather, lack of snow, or poor skiing conditions.
INSURANCE
All clients are encouraged to consider a general liability special event insurance policy covering the event with limits of no less than $500,000 per occurrence, $1,000,000 aggregate. Our preferred insurance provider can be found here: www.eventsured.com

In no event shall any reference be made to the property, museum, or to any exhibition in a manner that is likely to create the impression that The Powerhouse endorses any product, service, or political cause, OR in a manner that is likely to create the impression that the client has sponsored an exhibition. Announcements and advertising concerning the event are not permitted prior to the client’s payment of the deposit.
KITCHEN & REFRIGERATION
There is no on-site provided kitchen, refrigeration, ice maker, or dishes provided with this reservation. Please plan accordingly.

LOST & FOUND
We hope that none of your guests leave anything at the event, but if they do, have them email us at events@powsci.org. Any items that are left at your event will be held in our lost and found at the front desk for two weeks following the event. The Powerhouse shall not be responsible for any damage to or loss of any equipment or property left in the facility by the group, guests, vendors, or invitees.
MAILING
No mail service is allowed at our venue for any decor or guest packages.
NOISE
The Powerhouse has a good neighbor policy that holds to a strict adherence to the City of Durango’s noise ordinance, which not only has set times, but standard residential decibel levels as well. To comply with our Conditional Use Permit, electronically amplified music or voice on the Plaza must not exceed the city’s decibel limits and must cease by 8:30 pm Monday through Sunday. The client shall immediately reduce volume of the PA system if told to do so by The Powerhouse staff or the City of Durango Compliance Officer. If the client fails to comply, The Powerhouse reserves the right to end the event immediately with no refund to the client. In addition, the campus must be “all quiet” by 10:30 pm. Let’s respect our neighbors!
OCCASION
Full disclosure of an event purpose, occasion, and content must be made at the time of booking the venue. The Powerhouse reserves the right to cancel a rental that conflicts with the venue’s primary purpose as a public museum or promotes a view that is contradictory to the organization’s mission.
OFF LIMITS AREAS
All non-rented areas such as closets, storage areas, back of house areas, and in general, anything behind a closed door is off limits to the event host, their employees, guests, vendors, and contractors.
PETS
Pets are allowed anywhere in our venue. They must be on a leash at all times in the building. You must clean up after your dog outside. If they bark you will be asked to leave.
POWER
We should have adequate electricity for all your needs, but if you’re having an espresso bar or other equipment that uses a lot of power, please tell your venue manager and coordinator so we can talk about any special power needs ahead of time. We have a small supply of extension cords, but it’s a good idea to bring your own!
PROPERTY IMPROVEMENTS
The Powerhouse assumes the right to make any changes and/or improvements to the grounds or structures without the consent of the client. Any changes will be communicated to the guests as early as possible and all construction will be scheduled around events as much as possible. Should any major construction impede your event, necessary adjustments shall be made at the sole discretion of The Powerhouse staff.
REHEARSAL
You are welcome to schedule a rehearsal at the time of your choosing as long as it is arranged ahead of time to ensure there are no other event conflicts. We ask that you limit the rehearsal time to two hours and only include the persons absolutely necessary. Please do not set up any decorations prior to your scheduled event dates and times.
REFUNDS AND CANCELLATION
The client must notify our team in advance if they desire to cancel the event. Venue deposits are fully refundable up to 90 days prior to the event date. At the 90-day mark, all deposits are non-refundable. Under unusual circumstances, The Powerhouse may be willing to discuss a date transfer for the deposit.
The Powerhouse may terminate an event venue contract for failure to pay deposits or immediately upon any breach of these terms and conditions.
SECURITY
The client is responsible for all security, maintenance of order, and protection of persons and property within The Powerhouse property. The Powerhouse staff or partners reserve the right to enter the property for any reason.
SET UP & TEAR DOWN
Set-up in the Gallery, Boiler Room or the Plaza may begin at 4:00pm, or in accordance with closing times. The client acknowledges that any set up or break down outside the agreed upon timeframe is subject to a $250 per hour additional fee, minimum one-hour charge for any rental spaces within the facility.
The Powerhouse team will set up and arrange our provided chairs and tables according to client wishes, as decided upon at least two weeks before the event. Suggested table and chair layouts will be provided for all areas. Please note that our outside furniture is meant to be used outside, and our indoor furniture indoors. Please do not take our indoor furniture outside! Likewise, please do not move our exhibits. If you need something moved, just ask us! We’re happy to adjust certain areas to fit your needs.
The client is responsible for the set up and tear down of all decorations, florals, place settings, etc. and will either need to do it themselves or hire someone to do so. Due to insurance restrictions, The Powerhouse does not supply any ladders or dollies. All rented equipment delivered to and used by the client in connection with the event is the sole responsibility of the client. All equipment must be removed from the venue at the completion of the event time unless otherwise arranged prior to the event date. The Powerhouse is responsible for disposing of trash properly at the end of the event.
When you arrive for your event, please unload your decorations into the dedicated Boiler Room, NOT the lobby or front desk area. Ideally all your decorative items should be brought in and removed the day of your event.
Please leave our event spaces as you found them. Although we don’t expect you to wipe all the tables or vacuum the floor, we do expect that there will be no damage, furniture will be back where you found it, decorations will be cleared out, and our spaces will be left tidy!
SIGNAGE
The client is responsible for providing any/all event signage. All sign locations and installations must be pre-approved by The Powerhouse. All signage (along with the rest of the decor) must be removed immediately following (same day) the event. The client may be charged removal and/or storage fees for any/all signs not removed in a timely manner.
SMOKING & DRUGS
NO SMOKING is allowed in any inside space at The Powerhouse. That means vape, marijuana, and tobacco. The ONLY designated smoking areas at our venue are 15 feet from our doorways in the parking lot or in the back garden area.
If the fire alarms or sprinklers are set off as the result of smoking inside, you may be subject to a $1,200 fine.
Illegal drugs are not permitted anywhere on the property.
STAFFING
Our venue manager will serve as your primary contact before, during, and after your event. Our venue manager will be present for your entire event contract or will provide other staff for times he or she is not on the property. That being said, any of Powerhouse staff will be happy to help you with questions you have during your time at the venue. Our front desk is staffed many days of the week, but our team is busy and frequently out and about.
TIMING
Event guests may only be in the venue spaces during the times they are contracted for. Any access outside these hours including rehearsals, tours, walkthroughs, etc. must be requested prior to guest arrival. Please see the section on rehearsals to schedule your two-hour included rehearsal time.
Last call for alcohol will be no later than 10pm and all party activities (including but not limited to music, dancing, and send-off) must be completed no later than 10:30pm. The last hour is reserved for tear down and clean up. Ideally all items will be removed the day of your event, however, if absolutely necessary, personal items may be stored overnight in the Boiler Room for pick up the next morning by 9:30 am. Items not cleared from the event spaces by 12:00pm the day following the event will forfeit 100% of the security deposit.
Feel free to consult our recommended timeline for a smooth flow of what usually works the best in our space. Contact us for this information.
TENTS
The Powerhouse agrees to allow tents on the Plaza as per fire regulations and as space permits. Method of erecting the tents (barrels or stakes, etc.) must be approved in writing by The Powerhouse. Keep in mind that tents on the front patio typically conflict with our shade sails.
TOURS & WALKTHROUGHS
While The Powerhouse recognizes the importance of viewing the site during the event planning process, we request that such visits be kept to a minimum and that all subcontractors join in one visit instead of several. All site visits are by appointment only. These tours and walkthroughs MUST be scheduled ahead of time to allow our staff to be on property to provide access to any needed areas.
TRASH
Trash disposal is included in your event fee. Please have your caterers and clean up team bag any trash and leave in a clean pile.
VENDORS
We are a flexible venue and do not require you to work with any specific vendors. A list of all event vendors must be submitted to the venue manager at least two weeks prior to the event date. We also suggest that if they have never worked in our space that they schedule a walkthrough with us prior to your event so we can show them the details and make sure they are aware of our policies. All vendors are subject to approval by The Powerhouse and must work in coordination with our staff to comply with all venue requirements.
WIFI
Our WIFI is free for guests, and they are expected to use this access fairly and appropriately. Internet access is intended for general use such as email, messaging, or social media. It is not intended for heavy media streaming or extensive downloads or uploads.
